As much as I dislike giving a negative review, it is warranted in this case. In 2022, we entrusted Impact Accounting with managing our payroll. One crucial aspect of this responsibility is ensuring the correct and timely payment of Federal and state withholding taxes. However, in March 2024, we received a notice from the IRS stating that we were in collections due to two missed payroll withholding payments dating back to May 2022. Initially, Deb W. at Impact Accounting dismissed this notice as a "scam." Upon further investigation, it became clear that this was not the case. After spending several hours on the phone with the IRS, it was confirmed that the payments had indeed been missed. Despite this, Deb W. maintained that the payments had been processed correctly and she even claimed to have confirmation codes to prove it. Subsequently, we took it upon ourselves to contact the payment processor for withholding payments. After tracing the transactions, we discovered that while the payments were submitted, they were rejected due to incorrect bank information, which Deb W. was fully aware of. Instead of resubmitting the payments using the correct bank account information, Deb W. chose to cancel them. We promptly notified Impact Accounting of our findings, providing a detailed timeline of our investigation into the missed payments. We also requested reimbursement for the interest and failure-to-pay penalty imposed on us by the IRS. We sent this information via email and USPS Certified Mail. However, Impact Accounting has yet to respond to either communication. September 2024 Update from Impact Accounting's Response: 1. It is unlikely Deb W. is taking this issue seriously. It took over 4 months to get this response. There was NEVER any reply to the email I sent, the certified letter I sent or anything else. It was completely ignored. 2. The assertion that the issue was due to "outdated bank information" is partially true. Our previous payroll processor did batch uploading of payroll payments, Deb W. was fully aware of that and should have definitely double-checked the banking account information when she took over the payroll processing. She never asked, and only assumed the bank information in the EFTPS system that was over 10 years old was still valid. 3. Rather than working with EFTPS to determine the transaction history, we were left to our own devices to attempt to discover what went wrong and why. After reviewing the transaction history with EFTPS directly (and by ourselves), it was determined that yes, the payments were a). rejected b). resubmitted and c). cancelled - in that order - by Deb W. If you are "committed to working with us to resolve any remaining concerns" it shouldn't have taken over 4 months to respond and completely ignore our request for reimbursement of the fines and penalties imposed.
